Author Documentation for the Paper Submission System

  1. Log in to the system

    Many authors who have previously submitted abstracts, had accounts automatically created for them. To see if you have an account enter your email address in the appropriate field and choose "Remind". If your account is found, your password will be sent to your email address.

    If you do not have an account, you can create one by entering your email and desired password in the appropriate fields and choosing "Create". Upon creating an account you will be required to complete an author information form. Be sure to fill in the Required fields to continue.

    You can return to the account creation form to edit your information, with exception of email address, at any time by selecting the 'Update your account information' link. Please keep in mind, your author info must be correct here for it to appear correctly in our publications.

  2. Create a new Session Description / Abstract

    This is the abstract submission form. Here you must enter the details for each abstract you plan to submit for consideration. All fields are required with exception of Co Author information, (see below). Take special care to choose the correct Subject Area and Platform your paper belongs in, as this will affect the remainder of the process. Please note the length limit for Title is 100 characters and 600 characters for abstracts.

    If your Paper has a Co Author, you can select them from the drop down list if they already have an account. If they do not appear in the list, you must create an account for them, before completing this step.

  3. Create a Co-Author (Add an Author)

    You can create an account for a co-author by entering their email address in the form provided. Upon successful creation of the account, meaning one does not already exist for that email, you will need to enter the Co Author's last and first name along with their company. Your Co Author will receive an email notification upon account creation which will provide them with login and password information.

    After completion of this step, the newly created Co Author will appear in the drop box for Co Authors.

  4. The 'Edit an existing Session Description' Menu
  5. Here each abstract has a Status, as well as Command Options, that change as the abstract progresses through the system. Please see below for their explanation.

    Command Options

    • Edit - Use this command to update your abstract. This should be used to correct your abstract if it has been Flagged
    • Upload - Use this command to upload your paper draft in PDF, DOC, or TXT format
    • Withdraw - Use this command to officially withdraw interest in writing a paper for CMG for the abstract you submitted. This action can NOT be undone
    • Re-Upload - Use this command to upload an updated paper draft in PDF, DOC, or TXT format. You will not be able to re-upload an existing paper until the Subject Area chair has "flagged" the original paper uploaded. Please contact the Subject Area Chair if you wish to re-upload your paper.
    • View Comments - Use this command to view comments by the Subject Area Chair that Flagged your paper or abstract. This may occur if your abstract or paper does not follow CMG's Presentation Guidelines.

Status Descriptions

  • Pending Review - Paper has been uploaded, and is being reviewed by the Subject Area Chair. No action is required on part of the author.
  • Pending Evaluation - Paper is ready to be evaluated. No further action is required on part of the author.
  • Evaluated - At least one referee has read the paper and evaluated it. No action is required on part of the author.
  • Withdrawn - Author chose not to pursue this paper. No further action can be taken by the author.
  • Flagged - The Subject Area Chair found a problem with the abstract or paper. Author action is required for this abstract / paper to continue through the process. The first step is to 'View Comments'.
  • Pending Upload - An abstract has been created, but the paper has not been uploaded. Author must upload paper by Paper Submission Deadline.
  • Abstract Updated - Signifies that the author has updated the abstract. No further action is required on part of the author.
  • Paper Updated - Signifies that the author has updated the paper. No further action is required on part of the author.
